Franchises

A franchise in Periode is an owner and the franchisees that report to it. Each franchisee runs its own Periode account with its own bookings, subscriptions and customers; the owner receives an agreed share of each franchisee’s sales as a franchise fee.

Linking a franchise

Periode connects a franchisee to its owner for you — get in touch and we link the accounts. Once linked, the owner sees its franchisees under Reporting > Franchise.

Setting the fee per product

The owner sets the fee itself. Under Reporting > Franchise, choose Sett satser on a franchisee to open its rate page, which lists every product that franchisee sells:

  • A default rate that applies to all of the franchisee’s sales.
  • An optional rate per product — bookings, memberships, gift cards, punch passes and single purchases alike. Anything without its own rate uses the default.

That makes it easy to charge one rate on, say, saunas and another on courses — or to bill only certain products by leaving the default at 0%.

When you change a rate, every week you haven’t approved yet is recalculated with the new rates straight away.

Reviewing and getting paid

Early on the Monday after each week (Monday to Sunday, in UTC), Periode prepares a statement for every franchisee with a fee set: for each product, how many sales it had and what they came to, the rate applied, and the resulting fee. Sales that can’t be tied to a product are listed by type at the default rate. Money refunded to customers’ cards or Vipps during the week is subtracted from the product it was paid for, so the fee follows what the franchisee actually kept. Refunds to a gift card or a punch pass don’t reduce the fee, since the money stays with the franchisee. If a live split in Adyen already pays part of the fee to the owner, what it paid is deducted. If Adyen’s records for the week don’t add up to its Adyen payments, what the split paid can’t be fully trusted: the statement is still made, but marked Adyen mismatch so it can be checked before it’s approved. The owner reviews the statement and approves it. Once approved, the fee is transferred from the franchisee to the owner automatically — no invoicing back and forth. A week with nothing due has nothing to transfer: once approved it’s marked Nothing to transfer and leaves the pending list.

Reporting > Franchise lists your franchisees with their rates, the weeks waiting for your review and the outstanding amount: fees you have approved that haven’t been transferred yet. Below it, Payments lists the statements that are still pending: those waiting for your review and those approved but not yet transferred. Switch to All to go through every statement, newest first, and narrow the list down to one franchisee if you like. Expand a statement to see it product by product. Franchisees see their own fee under the same tab: their rates, the weeks waiting for the owner’s review, the outstanding amount and their statements under Payments, without the option to approve.

Approve the weeks one at a time, or press Approve all to approve every week in the list at once. Turn on Approve automatically to have every new statement approved as soon as it’s made, without waiting for your review; weeks already waiting, and weeks marked Adyen mismatch, are left for you to approve.

Each day is charged only once: a week has one statement. If a week is recalculated, its statement is updated as long as its transfer hasn’t started: an approved week goes back to waiting for your review, and its transfer waits until you approve the week again, which moves the new amount (with Approve automatically on, this happens straight away). Once the transfer has started, the week no longer changes.
